Beth Torah Congregation (BTC) serves the spiritual, communal and educational needs of more than 400 families with warmth and vibrancy in a family-style atmosphere. A conservative shul for over 65 years, we have been at the nexus of tradition and modernity. We offer the wisdom of the ages gleaned from the Torah while speaking to the concerns of our congregants with relevance and meaning.
The Administrative Assistant and Lifecycle Coordinator reports to both the Executive Director and Clergy. This role requires someone who is highly organized, detailed-oriented and capable of handling sensitive information with discretion.
Administrative Support
General Administrative Support (not limited to): Greet and welcome members, visitors, and vendors in person, answer phone and door buzzer as needed, manage and direct email and “Contact Us” inquiries to appropriate staff, ordering office supplies, basic office administration
Calendar Management: Booking and scheduling all appointments for both clergy members, using discretion to anticipate needs
Interface with Members: Initial point of contact for temple members and community guests, helping to connect all individuals to clergy and staff
Lifecycle Coordinator

Births, Brit Milah & Baby Namings: Communicate with families, ascertain all details and enter details into database
B’nai Mitzvah: Oversee and manage all B’nai Mitzvah details and bookings, including date selection, meetings with clergy and B’nai Mitzvah coordinator, rehearsals, honours, and contracts.
Weddings: Maintain ongoing communication with couple, arrange all meeting and courses with Rabbi, prepare all paperwork and enter details into database
Death & Funerals: Liaison with funeral Homes and cemeteries for clergy availability and details of deceased, coordinate Shiva details, update database with details of death, prepare and send Bereavement notice
Yahrzeit: Prepare notices and lists, light memorial lights, ensure all yahrzeit details are in the database, updated and correct
Additional Information
This is a full-time, in-person, permanent position to commence as soon as possible.
Salary range is $45,000 – $52,000 annually commensurate with experience.
Qualificatons:
Interpersonal Skills: Warm and welcoming, results-oriented professional with exceptional interpersonal skills and follow-through concierge service, dependable, self-motivated, and team-oriented with the ability to problem solve
Communication Skills: Excellent verbal, written and oral communication skills, capacity to build trust and maintain confidentiality, ability to exercise discretion and deal with confidential information
Technical Skills: Expertise in Google Workspace, MailChimp, and CRM systems (preferably ShulCloud) or the ability to learn new software
Organizational Skills: Strong attention to detail and a high level of organization, manages time and priorities, calm under pressure
Experience: Strong knowledge and understanding of Jewish lifecycle events, customs and rituals and practice
Education: College level education (diploma or bachelor’s), and/or experience in administration or a closely related field
