Beth Torah Congregation (BTC) serves the spiritual, communal and educational needs of more than 400 families with warmth and vibrancy in a family-style atmosphere. A conservative shul for over 65 years, we have been at the nexus of tradition and modernity. We offer the wisdom of the ages gleaned from the Torah while speaking to the concerns of our congregants with relevance and meaning.

 

We are currently seeking an organized, proactive and experienced Administrative Assistant and Lifecyle Coordinator to provide high-level support to our senior leadership team. The ideal candidate will have exceptional communication and organizational skills, along with the ability to manage multiple tasks and priorities efficiently.

 

Overview:

The Administrative Assistant and Lifecycle Coordinator reports to both the Executive Director and Clergy. This individual will be a critical partner in ensuring the smooth operation of the executive office. This role requires someone who is highly organized, detailed-oriented and capable of handling sensitive information with discretion.

 

Key Responsibilities:

The Administrative Assistant provides support to the Executive Director and assists with projects as needed, including but not limited to:

  • Answering phones and welcoming visitors
  • Managing calendars
  • Basic office administration (preparation of documents, copies, scanning, etc.)
  • Communicating with members – providing a welcoming experience when answering the phone and greeting visitors, answering members’ questions and inquiries and helping with membership renewals
  • Ordering office supplies, food for Kiddush and janitorial supplies
  • Coordinating with various vendors and tradespeople
  • Ordering food for Kiddush

 

The Lifecycle Coordinator provides administrative support to Clergy and assists with projects as needed, including but not limited to:

  • Coordinating all Lifecycle events – including Bris and Baby Namings, B’nai Mitzvah, Weddings, Funerals and Bereavements
  • Booking synagogue space
  • Sending out bereavement and yahrzeit notices, booking appointments, managing donations and tribute cards
Qualificatons:
  • Excellent verbal, written and oral skills
  • Understanding of Jewish values, rituals, customs and holiday practices
  • Self starter and ability to work independently and make decisions within the scope of responsibility
  • Strong attention to detail and excellent time management skills
  • Team player
  • Maintain a high level of discretion and confidentiality
  • Strong computer skills – Microsoft Office and Google Workspace, database management
  • ShulCloud database knowledge an asset
  • 3+ years of experience in an administrative role
Additional Comments:

Additional Information:

  • This is a full-time in-person position
  • Salary range is $46,000-51,000 annually, commensurate with experience
  • This position will sometimes require working evenings and weekends to provide programmatic support to the BTC team.
