Temple Har Zion (THZ) is a vibrant and inclusive Jewish institution committed to fostering a sense of community, promoting spiritual growth, and engaging individuals of all backgrounds.  We are currently seeking an organized, proactive, and experienced Finance & Office Administrator to join our dedicated administrative team. This position reports to the Executive Director

The Finance & Office Administrator is primarily responsible for Temple Har Zion’s daily financial operations and is a critical partner in ensuring the smooth operation of the temple office. This role requires excellent communication and administrative skills, a strong financial acumen, and a collaborative and team-oriented approach.

The successful candidate will be someone highly organized and detail-oriented, with the ability to manage multiple tasks and priorities efficiently.

 

Key Responsibilities:

Financial

  • Bookkeeping/Accounting
  • Accounts Receivable – manage collections including posting and reconciliation of all monies, producing reports, following up with members/donors via email and phone (including tax receipt questions/troubleshooting)
  • Accounts Payable
  • Payroll
  • Monthly bank reconciliation
  • Credit Card expense report & reconciliation of VISA statements and other payments (HST, WSIB, etc.)
  • Stock Donation Reconciliation & donor confirmation allocations
  • Creation of invoices (e.g. for venue rentals)
  • Provide audit support to the External Auditor
  • Support of financial and administrative online forms
  • Support the Executive Director and Treasurer in all reporting functions to ensure that timely financial reports are provided to various stakeholders
  • Additional tasks and projects as assigned

Office Administration & Support for Executive Director

  • Cemetery Management – managing plot purchases including billing and payments, data entry and record keeping, financial reconciliation of cemetery account, primary cemetery contact
  • Ordering supplies for the office, including all custodial supplies, paper goods & supplies, program supplies, coffee & food for office, wine & juice, etc.
  • Inventory oversight and management of all supplies
  • Membership Administration & Data Entry throughout membership renewal cycle
  • High Holy Day ticket management
  • Coordination of vendor & tradespeople contracts & maintenance visits
  • Basic administrative tasks – congregational mailings, voicemail and email management, etc.
  • Various other tasks as assigned

Additional Information:

  • This is a full-time in-person permanent position to commence as soon as possible
  • Salary range is $55,000-$65,000 annually commensurate with experience, plus medical and dental benefits, and Temple Har Zion Membership.
Qualificatons:
  • Post-Secondary education in a related field or equivalent experience in accounting, bookkeeping, and/or financial management.
  • Minimum of three (3) years’ recent experience within not-for-profit, registered charitable organizations in Canada
  • Proficiency in Microsoft Office Suite, QuickBooks, and experience working with CRM (preferably ShulCloud) and/or ability to learn new software.
  • Excellent organizational and time management skills, with the ability to prioritize.
  • Ability to effectively interact with and manage relationships with members, customers and vendors
  • Ability to work collaboratively as part of a team and to self-motivate
  • Knowledge of Jewish customs and rituals is beneficial and/or an interest to learn.
