Office Assistant and Bookkeeper

Primary Purpose

Reporting to the Executive Director of a private Jewish elementary school business office, this position will provide efficient and effective office support with a focus on financial administration and bookkeeping.  Experience with QuickBooks and bookkeeping required.


Key Responsibilities:

  • Manage accounts payable and receivables.
  • Communicate with families regarding payments.
  • Oversee incoming donations and manage tax-receipting process.
  • Maintain existing billing system, generate invoices, and manage accounts receivable.
  • Prepare quarterly and annual financial reports and assist in general financial management.
  • Prepare deposits.
  • Oversee credit card processing and automatic payments.
  • Manage bank reconciliation.
  • Maintain all financial records and government remittances as per government policy and procedure.
  • Oversee the fundraising portfolio (database, communications).
  • Provide some administrative support to the Executive Director related to communications and special events.

Skills and Abilities

  • Advanced experience with QuickBooks.
  • Advanced computer literacy and strong proficiency with Microsoft suite of products; Outlook, Word, Excel, PowerPoint, Teams, Adobe.
  • Attention to detail and a high level of accuracy in all work.
  • Strong organizational and problem-solving skills with exemplary multi-tasking abilities.
  • Advanced written and verbal communication skills and the ability to communicate effectively with all levels both internal and external to the organization.
  • Ability to maintain a high level of confidentiality and integrity.
  • Ability to be resourceful, flexible and dependable.
  • Demonstrated ability to support the organization vision and to integrate organization philosophies into daily routine.
  • Professional and courteous demeanor in dealing with all stakeholders and visitors.

NOTE: A valid driver’s license and vehicle would be an asset.



  • Three (3) years’ experience in bookkeeping and accounts payable/receivable, office administration, bookkeeping, or equivalent.
  • Advanced knowledge of bookkeeping/administrative/clerical procedures and systems.
  • Knowledge/experience with not-for-profit organizations and fundraising would be an asset.
Additional Comments:

  • Salary: $45,000- $55,000
  • References will be requested if the candidate is invited for a second interview.
