Position Description –School Secretary
REPORTS TO: Head of School
RESPONSIBILITY
- Assistance with day-to-day school operations in the front office
SPECIFIC RESPONSIBILITIES
Administrative Responsibilities:
- Serve as the front-line office staff for parents, students and staff
- Maintain attendance records, provide late slips in morning to students
- Answer phones and respond to emails
- Assist with of preparation staff newsletter
- Arrange coverage including supply teachers daily
- Manage field trip forms and arrange transportation
- Document and track all supply coverage, submit for approval and payroll
- Compose, prepare and draft school correspondence including class placements
- Format and distribute minutes from monthly staff meetings
- Assist managing lists and correspondence for co-curricular and sport teams
- Liaise with school custodian as required for daily maintenance (planned and unplanned)
- Maintain inventory of school supplies and reorder as required
- Liaise with the synagogue regarding school events, ceremonies and programs
- Ensure substitute teachers are oriented and informed about their responsibilities
- Act as liaison with parents re: ill or injured children, provide first aid, contact parents if required and complete accident report if required
Miscellaneous:
- Prepare and review teacher timetables and duty schedules and keep updated as required
- Document all school, grade and teacher timetables for the school year
- Communicate with teachers for any important information regarding students or scheduling
- Create OSRs for new students at start of year and cull OSRs for exiting students
- Keep track of OSRs sent to other schools
- Maintain an accurate and up to date student locker system
- Organize lice checks and immunization days
- Keep pickup authorization forms on file
- Keep consent forms on file
- Ensure students missing lunches and snacks are fed
- Keep anaphylactic sheets in a folder, ensure students on list have current Epi-Pens
Qualificatons:
- First Aid training
- Excel, Word skills – intermediate to advanced
- Ability to work independently as well as in a team environment
- Ability to delegate to staff as required and independently manage the office at times
- High level of proficiency in problem solving and decision making
- Ability to operate and maintain all office equipment
- Strong computer skills
- Strong interpersonal and public relation skills
- Ability to meet, respond and communicate effectively and tactfully with all levels of school personnel, students and parents
