About the Role

We are seeking an experienced and highly motivated Wills & Estates Clerk to join our private client team. In this role, you will provide essential support to our solicitors across all stages of estate planning and estate administration, while delivering an exceptional standard of client service throughout. You will bring a natural attention to detail, a proactive mindset, and a warm professional manner to every interaction — qualities that are central to how Greybox Legal serves its clients.

 

Key Responsibilities

  • Draft, prepare, and proofread Wills, Powers of Attorney, and related estate planning documents with a high degree of accuracy.
  • Assist in the administration of deceased estates, including applying for Probate or Letters of Administration, gathering and valuing assets, and liaising with financial institutions and beneficiaries.
  • Prepare court applications and supporting documentation for filing with the Estates Court.
  • Maintain and manage matter files in Clio, ensuring all correspondence, documents, and records are accurately filed and up to date.
  • Communicate professionally and compassionately with clients, often at sensitive times, providing timely updates and responding to queries promptly.
  • Monitor deadlines, follow up on outstanding matters proactively, and flag potential issues to supervising solicitors before they escalate.
  • Prepare cost estimates and account entries in accordance with firm procedures and billing guidelines.
  • Contribute to the continuous improvement of internal processes, precedents, and systems to enhance team efficiency.

Qualificatons:

What We’re Looking For

ESSENTIAL

  • 3–5 years experience in a wills and estates or private client legal role.
  • Demonstrated ability to prepare estate planning and administration documents accurately and independently.
  • Exceptional attention to detail — you catch errors before they leave your desk.
  • Excellent written and verbal communication skills, with sensitivity when dealing with clients in difficult circumstances.
  • Strong organizational skills with the ability to manage a varied workload and competing deadlines.
  • Proficiency with Clio or a comparable cloud-based practice management platform.
  • Proactive, self-directed work style — you take initiative and don’t wait to be asked twice.

DESIRABLE

  • Hands-on experience with estate planning or administration software, particularly eState Planner and Estateably.
  • Familiarity with billing processes.
