About the role

Immigration.ca is at the cutting edge of Canadian immigration law. We move quickly, run a tight ship, and we’re looking for an experienced Administrative Legal Assistant / Paralegal to help us keep it that way.

This is a hands-on, fully remote contract role at the center of how the firm runs. You’ll work across several systems and several files at once, serving as a key point of contact for clients and a connective link between consultants, legal staff, and firm leadership. If you’re organized, tech-comfortable, and good at juggling competing priorities, you’ll fit right in.

 

What you’ll do

Client communication & inbox management

  • Monitor and manage shared firm inboxes — responding to inquiries, routing messages, and flagging anything urgent
  • Check and return office voicemails, following up as needed
  • Stay in touch with clients through our firm’s centric technology client portal, answering questions and following up on missing documents

IRCC portal & file management

  • Track IRCC notifications arriving in our inboxes and confirm status updates in the IRCC portal
  • Notify clients of communication and updates from IRCC
  • File government correspondence in client Google Drive folders
  • Keep Monday.com project boards current and loop in the legal team on each file

New client onboarding

  • Add new clients to Monday.com and set up their Google Drive folder structure
  • Save signed contracts and send welcome emails outlining next steps
  • Build new client profiles in Visto, including applicant and family details

File review & consultant coordination

  • Review uploaded client documents for completeness and request outstanding core documents
  • Coordinate file readiness with senior staff and hand off approved files to the legal team

Qualificatons:

You’ll thrive here if you have

  • 5- years minimum in a Canada based legal, immigration, or administrative support role
  • Impeccible written and verbal English communication skills
  • Confidence working in Google Workspace (Gmail, Google Drive, Google Calendar)
  • Experience with — or a knack for quickly picking up — case and project management tools like Monday.com and Visto as well as our in-house technology products
  • Experience with devising AI prompts for Claude, Perplexity, Gemini or ChatGPT
  • A talent for staying organized when several priorities compete for your attention
  • A genuine eye for detail, precision and a commitment to getting things right – the first time

  • Familiarity with Canadian immigration processes and IRCC procedures
