We’re looking for a Leasing & Property Administrator to play a supporting role across our Leasing, Operations, and Finance teams, helping keep the day-to-day running smoothly.

Experience in property management or a related field is an asset, along with familiarity with Yardi, Google Workspace, and Ontario’s Residential Tenancies Act. Position Summary

The Leasing & Property Administrator supports the Leasing, Operations, and Finance teams with day-to-day leasing and administrative work. This includes marketing, move-in and move-out coordination, tenant notices, rent follow-up, and lease renewals. This role helps residents have a smooth experience while keeping records accurate and up to date.

 

Key Responsibilities

Leasing Operations

  • Supports the Leasing Manager with day-to-day leasing activities across the portfolio, including postings, showings, and lease document collection and validation
  • Coordinates move-in and move-out inspections, including tenant orientations
  • Set up new tenancies in Yardi and maintain accurate tenant status as leases progress from upcoming to current, notice, and past tenancy
  • Gather resident feedback and encourage residents to post online reviews

Availability & Market Reporting

  • Track and report on unit availabilities and lead traffic
  • Conduct site visits to competing properties to gather pricing, amenity, and availability data in preparation for market surveys
  • Prepare market reports on recently leased units and current availability, including comparison to competing properties
  • Prepare and present market survey findings to the Director of Operations & Leasing Manager

Property Administration

  • Prepare, draft, and distribute tenant notices and correspondence related to building operations, policy updates, and other communications
  • Create and process lease renewal and increase notices (N1, N2, etc.) in accordance with applicable timelines and legislation (RTA)
  • Issue rent reminders and follow up with tenants in arrears, escalating to N4 notice processing and liaising with Legal for Landlord & Tenant Board filings as required
  • Assist the Finance department with accounts receivable functions, including monitoring outstanding tenant balances
  • Provide general office administrative support, including filing, correspondence, and document management

Working Conditions

  • Primarily office-based, with regular on-site presence required for showings, inspections, and resident interactions
  • Some local travel required to visit properties and competing sites
  • Standard business hours, with evenings and weekends as needed to accommodate showings and leasing activity, and flexibility to meet leasing requirements
Qualificatons:
  • High school diploma required; post-secondary education an asset
  • 2+ years of experience in leasing, property administration, property management, or a related field preferred
  • Familiarity with Yardi and other property management software or online listing platforms is an asset
  • Familiarity with Ontario’s Residential Tenancies Act (RTA) and related forms (N1, N4) an asset
  • Strong written and verbal communication skills
  • Comfortable managing multiple, competing priorities and meeting deadlines
  • Comfort with common office and productivity tools, including Microsoft Office (Word, Excel, Outlook) and Google Workspace (Drive, Docs, Sheets, Gmail), is an asset
  • Detail-oriented with strong organizational and follow-up skills
  • Customer-service mindset with the ability to handle resident concerns tactfully
