The Toronto Chapter plays a vital role in fundraising, donor engagement, and community outreach to advance ICRF’s mission.

 

Position Summary

The Manager, Donor Relations & Administration plays a key role in supporting donor engagement, stewardship, and the efficient operation of the Toronto office. This individual will manage donor relations activities, maintain accurate donor records, and support fundraising initiatives and events, while also overseeing key administrative and operational functions.

The role requires a highly organized, detail-oriented professional who is proactive, service-oriented, and comfortable working in a mission-driven, fast-paced nonprofit environment.

 

Key Responsibilities

Donor Relations & Stewardship

  • Serve as a primary point of contact for donor inquiries and ensure timely, professional donor communications.
  • Support donor stewardship efforts, including preparing personalized acknowledgment letters, impact updates, and recognition materials.
  • Track donor engagement activities and assist with developing strategies to strengthen donor relationships and retention.
  • Manage the tribute card program, including fulfillment, acknowledgments, and donor communication.
  • Assist the CEO with donor outreach initiatives, including preparing briefing notes, donor profiles, and follow-up communications.
  • Support cultivation and stewardship activities for major donors and prospects.

Donor Database Management

  • Maintain accurate donor, gift, and event records in the CRM system (DonorPerfect).
  • Process donations and ensure timely issuance of tax receipts and acknowledgments.
  • Generate reports to support donor engagement, fundraising tracking, and stewardship initiatives.
  • Ensure data integrity and confidentiality of donor records.

Event Coordination

  • Assist in the planning and execution of fundraising events, galas, and donor receptions.
  • Manage event logistics including vendor coordination, invitations, RSVPs, seating, guest lists, and on-site support.
  • Coordinate donor recognition and follow-up communications after events.

Administrative & Operational Support

  • Manage daily office operations, including scheduling, correspondence, and general inquiries.
  • Support the CEO with calendar management, meeting coordination, and travel arrangements.
  • Prepare and maintain board materials, meeting minutes, and reports.
  • Maintain filing systems and organizational documents (digital and physical).
  • Liaise with the national office and external vendors as required.

Communications & Outreach

  • Assist with donor and community communications including newsletters, email campaigns, and website updates.
  • Support social media and digital communications related to events and donor engagement.
  • Liaise with volunteers, board members, and community partners.

Financial & Operational Support

  • Process invoices, reimbursements, and expense reports.
  • Assist with budgeting and financial tracking related to events and donor activities.
  • Support reconciliation of donations and financial records as required
Qualificatons:

Education

Bachelor’s degree in Nonprofit Management, Business Administration, Communications, or a related field (or equivalent combination of education and experience).

 

Experience

  • Minimum 3–5 years of experience in donor relations, fundraising support, or nonprofit administration.
  • Experience with donor databases (CRM systems); familiarity with DonorPerfect is an asset.
  • Proven experience coordinating events and donor engagement activities.
  • Strong technical and IT proficiency, including Microsoft Office Suite.
  • Experience handling confidential donor information and working with senior leadership or boards.

Skills and Competencies

  • Exceptional organizational and multitasking skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and a donor-service mindset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Familiarity with Canva, Mailchimp, and social media management tools is an asset.
  • Ability to work both independently and collaboratively in a team environment.
