Organization: Mid-sized Orthodox Shul in Thornhill
Start Date: July 13, 2026
Schedule: Full-time, Monday–Thursday 9:00 AM–4:00 PM, Friday office hours will be adjusted seasonally based on Shabbat times
About the Role
We are seeking a warm, highly organized, and proactive Shul Administrator to support the day-to-day operations of our vibrant synagogue community.
The ideal candidate is a self-starter with excellent written and verbal communication skills, strong administrative and project-management abilities, and the capacity to manage multiple priorities with professionalism and a calm demeanor. A commitment to the mission and values of the Shul is essential.
Key Responsibilities
- Serve as a primary point of contact for congregants and community members by phone, email, and in person
- Coordinate the weekly Kiddush program, serving as the primary liaison between congregants/sponsors and the caterer
- Welcome visitors and answer the main phone line
- Prepare and distribute the weekly synagogue bulletin
- Maintain the synagogue calendar and update website as needed
- Assist the Rabbi with correspondence, letters, memos, and select publications
- Create and coordinate internal publicity and communications
- Prepare online registration forms for synagogue events
- Maintain congregant database (ShulCloud)
- Process donations and related administrative records
- Coordinate monthly yahrzeit mailings
- Maintain mishaberach and yahrzeit/kaddish lists in coordination with the Gabbai
- Send bereavement and Mazel Tov cards
- Manage office administration including inventory, supplies, food orders, printing/copying, and office equipment
- Assist with room scheduling and communicate event setup needs to custodial staff (tables, chairs, supplies, food, and technology)
- Assist and manage High Holy Day ticketing and related logistics
- Assist with planning and executing synagogue events and programs including:
- Shabbat Dinners
- Congregational Receptions
- Virtual and in-person membership events
- Perform occasional local errands as needed
- Attend events in person when required
- Perform other related duties as assigned by the Shul Board
Schedule Requirements
This is a full-time position:
- Monday–Thursday: 9:00 AM–4:00 PM
- Friday: hours will be adjusted seasonally based on Shabbat times
Some flexibility for occasional evenings and weekends is required to support synagogue programs and events.
